Strategic Planning Manager (Facilities Management – Singapore)
GOALS
Strategic oversight of all corporate relocation projects including program development, budgeting, planning, project milestone scheduling, services contracting of multi-disciplinary project teams conflict resolution, client management, project implementation oversight and project closure.
RESPONSIBILITIES
Strategic Planning
Establish the strategic programme of RTB (run the bank).
Creation of strategic plans to enable effective occupancy of the client’s property in line with the growth of the firm; ensuring sufficient trading space is always available to meet demand.
Strategic oversight of plans covering all aspects of data collection, stakeholder consultation, sign off and follow ups.
Develop ideas and strategies that meet the changing demands of the firm to create both strategic and tactical solutions.
Project organization and communication
Ensure the implementation of client standards and policies for project completion.
Oversee the communication plans for major changes that are tailored to the specific changes/business audience and ensure that regular communications on minor moves and changes are conducted.
Build close working relationships with key stakeholders across the firm to ensure full knowledge and rationale of any plan is understood and agreed, thus enabling effective and timely execution.
Implement the client’s project approval process and inform all team members, including consultants, of project protocol.
Provide timely and accurate project documentation and reporting to all team members & consultants to include project status updates and vendor close-out letters.
Communicate proactively with internal and external teams and client representatives.
Ensure that Service Delivery Manager is adequately briefed on project progress.
Alert Service Delivery Manager to potential problems and their solution.
Act as an ambassador for client CRES.
Budget and schedule
Procure approvals for appropriate funding to effect change as required.
Develop scope and schedule for relocation projects.
Manage all financial aspects throughout the project with a key focus on cost savings
Contracts and Purchase Orders
Review project work orders, project purchase orders, service contracts and change orders.
Generate RFP’s for Moving Company and other vendors and make selections.
Project coordination and Reporting
Track, measure and publish the firm’s occupancy statistics across the property portfolio.
Establish and implement appropriate structures to control and monitor the initiation, design, progress and delivery of all projects and their close-out.
Work with the Capital Projects team in managing major projects outside the parameters of the RTB team.
Coordinate all moves through the Client’s (or Jones Lang LaSalle’s) Move Management tool.
Address Client special requests.
Supervise physical relocation of office contents and systems.
Arrange post-move services and coordinate other vendor services.
Address Clients’ post-move relocation concerns to achieve maximum customer satisfaction.
