Position: Administrative Officer

Location: Solitarian South & South East Asia Regional Office, New Delhi

Reporting to: Manager Accounts & Administration

Solitarian calls for expression of interest from Delhi based experienced persons, below 35 years of age who are professionally competent and well-versed in independently handling administration functions in Indian/international NGOs for the position of Administration Officer based in its Regional Office, New Delhi. The incumbent would be in charge of administrative functions and accounting related aspects in the operation of Solitarian and would need to provide support to Delhi as well as regional offices.

Solitarian which is headquartered in Netherlands is an innovative player in the Fair Trade movement and in the field of corporate social responsibility. Building up fair-trade companies like AgroFair, Kuyichi and Fair&Co and the creation of and cooperation with certification models like Fair Trade, Utz Certified and MADE-BY are some of the activities towards that aim.

To successfully comply with the requirements of our focus areas the following qualifications and skills are essential:

• Candidate must be a graduate from a recognized and reputed University; however, the candidate with Degree in Commerce will be given preference.
• The candidate should have sound organizing skills, trustworthy character, proactive attitude and ability to conduct office operations in a resourceful, cost effective manner.
• Excellent communication skills with good command over English (written & oral).
• Knowledge of administration policies, systems and procedures of an Indian NGO. Knowledge of ISO compliances and procedures would be given added advantage.
• Knowledge of maintaining and handling EPF records.
• Candidate should have relevant computer skills and proficiency, well-versed with MS Office, internet, Emails, accounting software such as Tally & other software for TDS, Payroll etc.
• Understanding of the purpose, background and policies of the organization they are working for and understanding of the roles of other staff.
• Communication and listening skills, and the ability to relate to people from different cultures and backgrounds.
• The ability to use general office equipment such as photocopiers, printers, Fax and internet.
• Ability to work independently and as a team player in a complex, multicultural environment, with demonstrated leadership, communication, networking and presentation capabilities.
• Time management skills and the ability to priorities tasks.
• Ability to manage many tasks simultaneously and ability to work under time pressure and accurate in work performance.

Work Profile: The Candidate would be responsible for the following:
• Handling HR related activities
• Supervising/Maintaining all incoming and outgoing mail/courier records.
• Assisting in day to day admin functions including overseeing and co-ordinating office administrative procedures and review, evaluate and implement new procedures.
• Handling house-keeping issues, record of inventory purchased, maintaining and monitoring of office vehicle(s) and its use in cost effective manner.
• Liaison with agencies for maintenance of office assets viz., telephone, fax, photocopier, computers, printers, etc.
• Liaison with logistical service providers such as hotels, courier, freight & forwarding, packaging, tours & travel, office stationary & supplies etc
• Organizing workshops, seminars, training & meetings as and when required.
• Coordinating and maintaining database of all the vendors & suppliers
• Ensuring timely verification and submission of bills of administrative expenses viz., telephone, mobile phone, Internet, electricity etc.
• Liaise with Government officials / departments, Project Partners and all concerened agencies.
• Provide logistical support in organizing workshops and meetings.
• Handling the travel and logistics for staff.
• Handling petty cash payments for office expenses.
• Accounting related activities such as Bank Reconciliation, voucher preparation and/or voucher feeding in Tally, preparation of Financial Statements, reports, MIS and Assisting the Accounts manager in day to day financial and accounting functions such as drafting Porject Financing Agreements, MoU, ToR etc.
• Maintaining the Fixed Assets Register, stocks register etc.
• Performing all other duties as assigned by supervisors and the management from time to time

The selected candidate may require occasional travelling within India and Region.
